Full-time, 40 hours/week

Monday- Friday 8am- 4:30pm

Hybrid 2-3 days/week onsite

Summary

The Medical Education Coordinator II provides programmatic and operational management support for educational programs within the Department of Medical Education. This role independently coordinates key aspects of residency, fellowship, undergraduate medical education (UME), and/or continuing medical education (CME) programs, exercising judgment and discretion in managing program operations, supporting accreditation compliance, and ensuring a high-quality learner experience.

Medical Education Coordinators function as departmental resources rather than siloed program staff. While each coordinator has a primary functional assignment, all coordinators are expected to provide cross-coverage and surge support across programs as operational needs require, including during recruitment cycles, accreditation activities, staff absences, and periods of increased educational activity.

Responsibilities

  • Independently manage day-to-day administrative and operational functions for assigned medical education programs.
  • Prioritize and coordinate multiple program timelines, deadlines, and deliverables in a complex academic environment.
  • Serve as a primary operational point of contact for learners, faculty, and program leadership regarding program requirements, schedules, and processes.
  • Identify routine operational issues, resolve them independently when appropriate, and escalate risks proactively to program leadership.
  • Interpret accreditation and regulatory requirements (e.g., ACGME, LCME, ACCME, institutional policies) and apply them to daily program operations.
  • Maintain continuous accreditation readiness through ongoing monitoring, documentation management, and process improvement.
  • Prepare and manage materials for accreditation reviews, internal reviews, audits, and site visits.
  • Advise program leadership on documentation standards, timelines, and operational compliance requirements.
  • Coordinate recruitment processes as applicable, including application workflows, interview scheduling, communications, and event logistics.
  • Manage learner onboarding and offboarding processes, including coordination with credentialing, HR, IT, and other institutional partners.
  • Oversee evaluation and assessment processes, ensuring timely completion, accurate tracking, and appropriate documentation.
  • Collaborate closely with program directors, faculty, other coordinators, and Department of Medical Education leadership.
  • Provide cross-coverage across educational programs as part of a shared departmental portfolio model, requiring independent prioritization and coordination to ensure continuity of operations.
  • Contribute to departmental initiatives, standardization efforts, and continuous improvement of medical education operations.
  • Coordinate meetings, prepare materials, maintain records, and support departmental priorities as assigned.
  • Participate in special projects, accreditation initiatives, and process redesign efforts within the Department of Medical Education.

GME – Fellowship Programs

Coordinators Assigned To GME Fellowship Programs May Additionally

  • Coordinate administrative operations for one or more fellowship programs.
  • Manage fellowship schedules, rotations, conferences, and educational activities.
  • Support ACGME fellowship accreditation requirements and reporting.
  • Coordinate fellowship recruitment and interview processes.
  • Serve as a liaison among fellows, fellowship directors, and institutional partners.
  • Support in-training examinations, onboarding, graduation, and fellowship-specific events.

GME – Residency Programs

Coordinators Assigned To GME Residency Programs May Additionally

  • Coordinate administrative operations for residency programs, including complex rotation and call schedules.
  • Support ACGME residency accreditation activities, documentation, and reviews.
  • Manage residency recruitment processes and communications.
  • Maintain resident records, evaluations, and required documentation.
  • Support residency onboarding, examinations, educational events, and graduation.

Education And Experience

  • Education: Bachelor's degree required
  • Certification: TAGME certification preferred
  • Years of relevant experience: Minimum of 2 years of progressively responsible experience in medical education, graduate medical education, academic administration, or a related field preferred
