Office Assistant

Based in Portland / Tigard, OR

The Oregon Federation of Nurses and Health Professionals, AFT Local 5017, represents over 6,500 nurses and health professionals in Oregon and Southwest Washington, who are employees of Kaiser Permanente, PeaceHealth, St. Charles, Lab Corp, Legacy, and Adventist Health Systems. OFNHP is an affiliate of the Nurses and Health Professionals division of the AFT, AFL-CIO.

POSITION SUMMARY 
Office Assistant: Provide administrative support to OFNHP members, visitors, and staff through a variety of tasks. Act as the primary contact to assist union members and staff. Perform a potentially diverse range of duties including assembling educational materials, supporting meetings and union events, ordering supplies and monitoring business machines throughout the union hall.

JOB DUTIES:

• Conference room schedules 
• Order food for meetings 
• Schedule and maintain virtual meeting calendars and schedules (ongoing and by request). 
• Reception (phones, intake, incoming/outgoing mail, and communications) and building access. 
• Data entry (Ex. Enter sign-in sheets).
• Copy room production (ex. Printing and preparing packets and materials for distribution).
• Assist members as needed. 
• Maintain positive interactions with OFNHP members and staff. 
• Back up Executive Assistant and other OFNHP team members.
• Other duties as assigned.

JOB REQUIREMENTS

• Experience as a receptionist.
• Database management knowledge.
• Proficiency with office programs including Excel, Word Outlook, and Goggle Docs.
• Union or non-profit experience preferred, but not required.
• Strong written and verbal skills.
• Ability to perform accurate data entry.
• Ability to multi-task and work in a very fast-paced environment.
• Ideal candidate would be energetic, collaborative, problem-solver, self-motivated and tech savvy.
• Valid driver’s license and reliable transportation.

Supervision:
The position reports directly to the Chief of Staff or their designee.

Wages & Benefits:

• Starting Salary: $29.57/hour at 24 hours per week in accordance with the CBA.
• This is a part-time (.6 FTE) hourly position and is represented by the OPEIU Local 11. The benefits package includes vacation, holidays, healthcare, 401(k) and pension in accordance with the CBA.
